We’re looking for a Programmes Administrator to join the Doctoral College, supporting the Doctor of Clinical Psychology (DClinPsy) and Foundation Systemic Theory and Practice courses.

The DClinPsy is a three-year, full-time professional doctorate where trainees split their time between university study and supervised placements in NHS mental health settings. You'll be part of a dedicated team, working alongside two other Programme Administrators and a Programme Manager, as well as colleagues across the Doctoral College.

In this varied and busy role, you’ll be responsible for a range of programme-related administrative tasks, including:

  • Teaching & Programme Support – Coordinating teaching activities, liaising with lecturers (internal and external), and ensuring smooth course delivery.
  • Student Support – Acting as the first point of contact for trainees, providing guidance and assistance as needed.
  • Records & Compliance – Maintaining accurate student records and ensuring compliance with Data Protection and Freedom of Information regulations.
  • Committee & Financial Administration – Supporting programme sub-committees, managing trainee expenses in line with NHS policies, and processing payments for People with Personal Experience (PPE).
  • External Liaison & Accreditation – Working with service users, NHS Trusts, and external partners to meet accreditation requirements.
  • Admissions Coordination – Handling applications, liaising with applicants, managing shortlisting processes, and maintaining final and reserve lists.

We currently operate a hybrid model such that staff can mix working from home and in the office on campus. Due to the structure and timetable of the programme you would be expected to work on campus on a Thursday (as a minimum). Having established a regular working pattern, there may occasionally be times where you will need to be on campus at other times during the working week e.g. during Induction week when students first arrive.

The team is responsible for administering admissions for the university's PhD and professional doctorate programmes, as well as managing multiple funding competitions associated with doctoral study.

The Recruitment & Admissions team members work closely together to provide a friendly, fair and equitable admissions process which allows applicants from across the globe to present themselves and their qualifications in the best possible way, and empowers members of academic staff to recruit the very best doctoral students.

You will have responsibility for a portfolio of programmes and your duties will include:

  • answering enquiries and providing advice and guidance to pre-applicants, applicants and offer holders;
  • liaising with academic colleagues, internal professional services representatives and other university staff members are well as external agencies;
  • appraising and processing applications for doctoral study;
  • administering doctoral funding competitions;
  • assisting with wider doctoral recruitment activities.

To be successful in the role, you will need to be highly organised, able to manage a busy workload with conflicting priorities and have an excellent eye for detail, thus enabling the team to uphold its high standards in recruitment and admissions, and ensuring that our services are efficient and effective.

You will also need to uphold University admissions regulations, as well as compliance issues relating to fees and funding, student immigration and contracts. In addition, it is essential that you recognise and value good communication and that you are comfortable working on your own initiative whilst, at the same time, remaining receptive to helping out your colleagues when their workload is heavy. We are currently working to improve our systems and processes, so being able to adapt and work with change is key.

This is a part-time role (21.9 hours per week) available on a fixed term basis until February 2026.

The team follows a hybrid model of working; we work in the office on Mondays and Tuesdays and we usually work from home from Wednesday to Friday inclusive. You may choose to work 3 full days per week or to spread your hours over 4 or 5 days, but you will be required to work on Tuesdays and come to the office on that day.
